OCLC Connexion Manual

Note: minor changes in menus and wording may occur with each upgrade. Just read the menu carefully and select the correct item wherever it is.


The current version of OCLC Connexion must be loaded on your PC to use these procedures.

  1. Load OCLC Connexion.

  2. Click on the Connect icon on the Toolbar.

  3. Select the correct login for your use and click on OK.

  4. When the Message of the Day comes up, read it for anything relevant to you, then Close it.


Searching in Connexion

Press F2 to search.

The Connexion Search Worldcat window allows you to search several ways.

Command Line Searching

The most command command line searches are long titles and subtitles.

  1. sca tiw= followed by the whole title and subtitle.
  2. sca sew= followed by the whole series.
  3. tiw= followed by the whole phrase.

Examples:

  • sca tiw= I'm going crazy a diary of my breakdown
  • sca sew= Neurotics Anonymous series
  • tiw= going crazy

You can also search using other prefixes:

  • * or # followed by the OCLC number (no spaces).
  • am: or mt: followed by a part of the URL.
  • hl: followed by an LCSH (Library of Congress Subject Heading).

Keyword/Numeric Search

This works much like the searching in many of our databases. You enter the data, select the category for that data from the drop-down list, and combine as necessary.

Limited Keyword/Numeric Search

You can combine Keyword/Numeric Search with limits (but NOT Command Line).

  • Language limits the language of the item.
  • Format limits the format of the record (book, serial, visual, etc.)
  • Internet limits the results to those on the Internet and those not.
  • Source is any or DLC (Library of Congress or certified libraries
  • Microform is Yes or No.
  • Years can be between two years, from one year on, from one year back.
  • Material type is more powerful than Format, as it allows you to break Visual down into DVD and VHS formats, pick CDs out of Sound Recordings, and more.

One of the most common searches is by ISBN.

  1. Enter the ISBN into the first Keyword/Numeric Search box.

  2. Change the right side box to ISBN
  3. Since the ISBN should take you right to the record, no limits should be needed.

To search by title, enter one word of the title per box and then select Title from the drop-down menu. You can also combine it with, say, an author (Personal Name).

Example: "How to" by John Passell is difficult to search because of the common opening words.

Editing the OCLC Record

See the configuration instructions for details on setting up Connexion.

  1. Use the appropriate Constant Data record to fill in repetitive information.

Constant Data

Constant Data is a set of data which automatically fills in the record, to reduce repetitive entry.
For example, certain fields are entered in every record of a certain type, such as the 949 which controls how the record will be imported into Millennium.

Following the setup of the icons, it is possible to create constant data records, edit them for the latest use, or delete them.

Use the Constant Data icons to create and apply Constant Data:

  • Use the icon (shown on the left) for EditConstantDataLocalApplyDefault to apply whatever default Constant Data you have selected.

  • Use the icon (shown here in the center) for CatalogingSearchLocalConstantData to search for a specific Constant Data record.

  • Use the icon (shown here on the right) for CatalogingCreateConstantData create new Constant Data records.

  • Use CTRL-B to call up specific known Constant Data records to apply to the current bibliographic record.
    Once you use a Constant Data record, it remains the default CTRL-B record until/unless you change it.

Frequently Used Constant Data

  • The 092 call number field

  • The 541, 590, and other staff notes fields

  • Constant Data should add a line for
    949 *recs=b;ov= ;b1=BGeneral code;b2=BType code;b3=BStatus code;bn=BLocation code;la=date of sending to libcat.
  • Example: for an typical book record, the code would be:
    949 *recs=b;ov= ;b1=a;b2=a;b3=o;bn=order;la=070328;
    if the date were March 28, 2007 (YYMMDD).

Exporting the OCLC Record

Once the record has been edited, it can be exported from OCLC Connexion to the Library's Millennium system. If necessary, it may be edited further there. Use the ActionExport icon.

ActionExport should cause a popup window to show the status of the export. Information will be shown, including whether the record has been added or overlaid.
If the record is overlaid, be sure to check it for correctness in Millennium after exporting.




Configuring Connexion

  1. Open OCLC Connexion
  2. In the Tools menu, choose Options

Exporting:

  1. In the Options window, choose the Export tab.
  2. Select Create
  3. Select OCLC Gateway Export and click OK
  4. Enter 10.121.1.24 as the Host Name
  5. Enter 5500 as the port
  6. Enter Timeout as 90
  7. Enter Retries as 0
  8. Enter Delay as 20

Authorizations:

  1. At Options, select Authorizations
  2. Enter number, password and the name.
  3. Click on Apply and then on OK.

General:

  1. At Options, select General
  2. Log off timeout is maximum 39 minutes, 5 minute warning
  3. Classification scheme is Dewey
  4. Holding library code is ASZA
  5. Institution symbol is ASZ

Fonts:

Use Arial Unicode MS if possible.

Record Display:

Change colors for Authority records so authority records are obviously different from bib records.

Toolbar Editor

  • Remove any unnecessary icons by dragging them to the Toolbar Editor box.

  • Constant Data icons
  • Add the icon (shown on the left) for EditConstantDataLocalApplyDefault.
    This will allow you to apply the whatever default Constant Data you have selected.

  • Add the icon (shown here in the center) for CatalogingSearchLocalConstantData.
    This will allow you to search for a specific Constant Data record.

  • Add the icon (shown here on the right) for CatalogingCreateConstantData.
    This will allow you to create new Constant Data records.

  • Be sure the ActionExport button is available.
